As a Senior Product Portfolio Operations Associate in the Chief Analytics Office, you are a significant contributor to your team with a strong knowledge of optimization and integration. You understand what it takes to bring together all the key elements of a product line and its products to ensure coordinated outcomes. In this role you will support portfolio operations and day-to-day book-of-work management of the Chief Analytics Office, helping translate their applied and research activity into disciplined governance, clear portfolio artifacts, and leadership-ready reporting that supports prioritization and decision-making. The work spans a broad, firmwide stakeholder set with strong cross-line-of-business touchpoints, requiring partnering with delivery teams and business stakeholders to bring clarity to scope, status, dependencies, and outcomes. In parallel, the role has a secondary mandate to collaboratively advance a wider team automation agenda by applying hands-on analytics and workflow automation to reduce manual effort, improve data quality, and increase the cadence, consistency, and scalability of management information for both the team and its line-of-business partners. This role is well suited to someone with strong technical strong technical and analytics skills who wants to grow into broader portfolio management responsibilities within a global, AI organization.
Job Responsibilities
- Creates synergies across products to ensure successful delivery against business objectives
- Collects key inputs from across products to ensure the full product-line framework highlights our core cross-product priorities, sequencing, and trade-offs
- Calculates metrics for portfolio management operations and analyzes data for areas of opportunity
- Develops change initiative materials and change timelines
- Assists in the product-level collection strategy consisting of controls, financials, and resourcing needs
- Primarily, run core portfolio coordination processes across the CAO portfolio (research and applied initiatives), including intake, prioritization views, cadence management, status packs, dependency management, and decision/action follow-through, while ensuring consistency across core portfolio artifacts, and maintaining audit-ready documentation.
- Secondarily, collaborate on and support automated reporting and book-of-work management using strong/sound Python and/or similar scripting languages, to help build repeatable pipelines and workflows that take defined âcutsâ of data, schedule refreshes, perform validation checks, and publish consistent outputs into visual reporting and dashboards (including but not limited to Tableau) to meet team and line-of-business stakeholder reporting needs.
- Deliver high-quality analytics and leadership-ready âviewsâ by shaping datasets, pivoting and summarizing inputs, performing QA/reconciliation checks, and turning the numbers into clear narrative insights using advanced Excel (including pivot tables, structured datasets, and lookups/models as appropriate) for both internal governance and partner-facing updates.
- Link work-management tools (e.g., Monday.com) to firmwide data sources via APIs and workflow tools (e.g., Alteryx or comparable), with appropriate access controls, documentation, and resilient operating procedures that support reliable run, support, and handover across multiple stakeholder groups.
- âThickenâ team capability by confidently picking up automation assets and Python scripts created by others, running them reliably, maintaining them, and refactoring/extending them where needed to scale reusable reporting and portfolio workflows, supported by clear handover notes and run instructions.
- Communicate clearly with a broad stakeholder set (including line-of-business partners), producing crisp written updates and confident verbal briefings while operating with initiative, autonomy, and strong collaboration habits, including proactively identifying process improvement opportunities and driving them through to implementation.
Required Qualifications, Capabilities, and Skills
- 3+ years of experience or equivalent expertise in program management or performance optimization
- Proven ability to implement operational effectiveness initiatives
- Prior working exposure to operations of the product development life cycle and agile methodologies
- Strong/sound Python skills, including building and maintaining automated workflows for portfolio and management-information reporting (data extraction, transformation, validation, scheduling, and publishing outputs).
- Strong data analytics capability, including advanced Excel skills (explicitly including pivot tables) and the ability to extract/pull data, structure and QA datasets, and turn fragmented inputs into coherent, decision-ready portfolio views for leadership and line-of-business audiences.
- Experience producing dashboards and visual reporting (including but not limited to Tableau), including maintaining recurring management information and ensuring consistent definitions, metrics, and presentation for stakeholder consumption.
- Experience integrating platforms and datasets via APIs and workflow automation tooling (e.g., Alteryx or comparable), with an operations mindset around reliability, documentation, and supportability.
- Proven portfolio operations discipline, including governance cadence, documentation standards, and consistently audit-ready outputs.
- Highly proficient with all MS Suite, i.e. strong PowerPoint skills, and ability to effectively manage information and documentation through MS Teams and SharePoint.
- Strong written and verbal communication skills, with confidence engaging stakeholders across seniority levels and functions, including line-of-business partners.
- Ability to take direction while working autonomously, managing multiple priorities, and continuously improving processes and outcomes.
Preferred Qualifications, Capabilities, and Skills
- Experience supporting AI/ML and applied analytics or other data-intensive portfolios, including familiarity with both research-style operating models and delivery/implementation rhythms.
- Familiarity with work-management platforms such as Monday.com (or similar) and portfolio reporting structures across multiple tooling ecosystems.
- Experience implementing lightweight controls for automated reporting (e.g., reconciliation/validation checks, version discipline, documentation, clear runbooks, and reproducibility).
